Job Description:

Office Administration

  • Reception cover, including meeting and greeting visitors,  managing meeting rooms (Outlook) and preparing refreshments;
  • Provide support to EA/OM with day-to-day running of the office;
  • Liaise with building reception for meeting rooms, office repairs and post;
  • Answer telephone enquiries and email correspondence, including company general address;
  • Prepare material for external and internal meetings;
  • Manage the purchasing for the office (sundries, stationery, office equipment);
  • Update holiday spreadsheet and keep track of when various team members are away;
  • Monitor credit card spend and log in payments in Excel spreadsheets; and
  • Help EA/OM with any ongoing/future projects (e.g., IT migration, setting-up templates, Health & Safety policies, HR administration, etc.).

Team Assistant

  • Provide secretarial and administrative support to the London-based team;
  • Arrange travel for the team (flights, hotel accommodation, train tickets, taxis and car hire);
  • Process team expenses claims;
  • Provide support to the accounting team – supplying them with the copies of invoices and statements in a regular and timely manner; and
  • Ad hoc support the Managing Partners, principally when EA is on annual leave.

Branding and Investor Relations

  • Assist in the maintenance and updating of websites;
  • Frequent updating of various social media, principally LinkedIn; and
  • Provide ad hoc assistance to Managing Partners with regards to investor relations and correspondence.
