Administrative and Team Assistant - Document Management Focus - CLOSED

Job description:

Report to: Anna Medrykowska, Executive Assistant/Office Manager

General Administration Team Duties:

Support the Executive Assistant/Office Manager with daily office management/administration, including:

  • meeting and greeting visitors,  arranging meeting rooms and enforcing relevant policies;
  • monitoring company general email address;
  • ordering and updating stationery, sundries and office equipment;
  • liaising with building reception (e.g., arranging office repairs, meeting rooms, post, etc.); and
  • helping to maintain the holiday and absences tracker.

Team Support Duties:

Assist various team members with:

  • arranging relevant travel, including organizing site visits, accommodation, car hire, etc. and processing;
  • administering team expenses claims; and
  • monitoring and managing calendars and appointments.

Document Management/Legal and Compliance Support

Support the Executive Assistant/Office Manager and legal team by:

  • assisting to document, implement and enforce document and record management policies (including scanning/photocopying documents, uploading documents);
  • maintaining human resources and new starter induction document packets;
  • administering and maintaining personnel files and data, pursuant to Firm policies and relevant law and regulation; and
  • monitoring and administration of compliance and health and safety, including maintaining relevant compliance and training registers.
